Sales prospecting: what it means and how to do it

In short

  • Sales prospecting means finding and contacting potential customers who do not know you yet.
  • In B2B, five methods coexist: phone, email, LinkedIn, field and inbound. The best approaches combine two.
  • Effective prospecting follows six steps: target, timing, contact, message, follow-up, measurement.
  • The strongest lever is not wording but timing: writing to a company that has just shown a need.
  • Under GDPR, B2B prospecting can rely on legitimate interest, provided the message concerns the recipient's role and they can object easily.

Before a quote, a demo or a negotiation, there has to be a first conversation. Sales prospecting is what starts it. This guide covers what prospecting means, the methods used in B2B, the steps of an approach that gets replies, and the mistakes that make it fail.

What does prospecting mean in sales?

To prospect is to go and find a customer rather than wait for one to come. Sales teams usually distinguish three stages:

  • The suspect: a company or a person that matches your target on paper (industry, size, role), with no sign yet of a need.
  • The prospect: a qualified suspect, someone you have a reason to think could buy, and whom you contact.
  • The customer: a prospect who bought.

Prospecting covers the move from suspect to prospect, then the first contact. It ends when the sales conversation starts: a meeting, a discovery call, a request for a quote.

Prospecting means going from many suspects to a few prospects, then to a conversation.

Why prospect when referrals already work?

Many service businesses live on referrals. It is an excellent channel, but you cannot steer it: you choose neither the volume, nor the timing, nor the kind of customer.

Prospecting is the only acquisition channel whose target and pace you decide. It is also how you enter a new sector, a new region or a new offer, where nobody can refer you yet.

What are the B2B prospecting methods?

Phone

Direct, and the fastest way to learn whether a need exists. But it interrupts, takes sales time, and decision makers increasingly screen unknown numbers.

Email

It is read when the recipient chooses and leaves a written trace. Its limit is deliverability: an email that lands in spam does not exist, and bulk sending quickly damages a domain's reputation.

LinkedIn

It shows who you are before the first message, and lets you see what your prospects publish. Connection requests are capped, which forces you to choose. See our article on signal-based LinkedIn prospecting.

Field and trade shows

The strongest contact, and the most expensive in time. Useful when the target is concentrated in one area or gathers at events.

Inbound

Content (articles, posts, guides) that draws prospects to you. It complements outbound prospecting without replacing it: it takes months to pay off.

What are the steps of sales prospecting?

1. Define the target

Who buys, and who decides? An industry, a company size, a region, and the role of the person who signs. The sharper the target, the sharper the message can be.

Example

"Accounting firms of 5 to 50 people in the Lyon area, writing to the founding partner" beats a list of ten criteria.

2. Find the right moment

A company that matches the target does not necessarily need you today. Buying signals (a hire, a new role, a new company, a post) tell you who probably has a need now. Starting there changes the reply rate more than any wording.

3. Find the person and their details

The decision maker's name, their LinkedIn profile, their verified work email. A wrong address does more than miss its target: bounces damage the deliverability of everything else you send.

4. Write the first message

Short, about the person, with one question: what you saw, what it often implies, and one simple question. No company introduction up front: it will come if the person replies.

5. Follow up, without pushing

One or two follow-ups several days apart, each bringing something new. A reply stops the sequence. A refusal is final.

6. Measure

The reply rate and the number of useful conversations say more than the number of messages sent. Look at which signals and which messages produce replies, and keep those.

What mistakes make prospecting fail?

  • Sending everyone the same message. A prospect recognises a mass mailing in one line.
  • Talking about yourself first. The first message should be about the prospect and their situation, not your offer.
  • Making up for it with volume. More sends to the wrong target bring more refusals, more spam reports, and a damaged domain or account.
  • Following up forever. After two or three unanswered messages, change the moment or the target.
  • Forgetting the rules. Not saying where the data comes from, or writing again to someone who said no.

What are the rules for prospecting in Europe?

Under GDPR, B2B prospecting can rely on legitimate interest when the message concerns the recipient's professional role. Every message must offer a simple way to object, and the person must be told where their data comes from.

Rules on emailing businesses vary between countries: France allows it without prior consent, others are stricter. More detail in our guide to B2B prospecting.

Frequently asked questions

What is the difference between a suspect and a prospect?

A suspect matches your target on paper, with no sign of a need. A prospect is a qualified suspect: you have a reason to think they could buy, and you contact them.

What is the most effective B2B prospecting method?

No single method wins on its own. What makes the difference is reaching the right person at the right moment, often by combining LinkedIn and email in a short sequence.

How many follow-ups should you send?

One or two, several days apart, each bringing something new. Beyond that, change the moment or the target rather than insisting.

Can you email businesses without consent?

It depends on the country. France allows B2B emails without prior consent when they concern the recipient's role; some countries, such as Germany, are stricter.
